How do I access Krystal Ball Software?

To access Krystal Ball you require an internet ready PC, laptop or net book.

Once your site is live you will have access to your business via a secure website, you will be provided by a link for example:- https://yourbusiness.krystalballsoftware.co.uk

What are the system requirements?

Krystal Ball Software Ltd recommends a PC with a specification no lower than:

Users will require an active email account in order to receive their login details.

Performance will be improved with higher specification computers and networks.

How do I get a username and password?

On the establishment of your website and during the rollout you will be required to fill in a user profile form. From here you will be setup with the correct user privileges for your job role.

A user name and initial password will be emailed to you.

How do I add a sales person?

To add a sales person you need to set up a new user as described above. For any sales person you also need to set them up as a member of staff in Krystal Ball.

What do I do if I forget my username and/or password?

At your Krystal Ball homepage you will see 2 fields, user name and password. Underneath these fields is a link called “Forgot Password”.

Clicking this link will take you through to a page where all you are required to do is input your Krystal Ball users name. You will automatically be emailed a system generated password. You should now be able to access Krystal Ball again.

Can I change my password, the one I was emailed is too complicated?

Yes, the system generated password can be changed immediately after you’ve logged in. To change your password click on the link in the top right hand section of the screen “Change Password”. You will be required to enter the current password then enter a new one*, you will also need to confirm this.

* Password minimum length is 7 characters with at least 1 non-alphanumeric character (e.g. &,*,@, ., ! etc).

Manage available reports

Can I adjust the league tables on the home page?

League tables can be altered as required. You can choose just one or as many as you require. The league tables are representative of Front End Values, (front end values are profit elements in the vehicle itself including any add on sales) back end values can not be incorporated into league tables.

If you user level allows you can manage the league tables via the link in the admin menu "Report Manager".

How do I check my sales?

Sales are divided into departments, New, used, motability, fleet and agency.

To access each of your sales types click on the relevant section. You can filter using the sales person drop down menu your own sales. Krystal Ball always defaults to the current month, to look back or forward you can adjust the date via the drop down menu. This is applicable to all sales types.

How do I check my commission?

This is dependant on your user level.

To access the commission report click on the report link on the menu. From here you will be presented with the report suite in the main window. Using the drop down menu choose report type “Commissions”. Choose the month and year you require to view and then click run.

How do I remove a user?

We never recommend that you delete a user as this will render any historical sales to a user, obsolete.

I need to add a used car to stock

You can easily add vehicle to Krystal Ball. To add a used vehicle click on the “Used Vehicle Entry” link on the admin menu. From the main window you will be required to enter 3 pieces of information.

Once complete click save. This vehicle will now appear in the stock list in the used car section.

How do I delete a sale?

It’s very easy to remove sales from Krystal Ball however you need to check the sale detail in advance.

Removing a deal

Krystal Ball will ask you if you are sure you want to remove the sale, you must click yes to remove the sale. Once confirmed the sale data is removed. Please note this can not be recovered once deleted.

The different delivery states are easy to change

Can I manage the delivery status'?

The delivery status codes can be managed by the administrator. To amend or add status details click the link in the admin section of the menu "Delivery Status".

You will be presented with a list of your current status names and colours. You can edit existing status details or add new codes from here.
